Settings → Data Export gives you a complete, shop-scoped snapshot of your data as CSV or JSON — useful for backups, migrations, or general "I want my data" requests. There are two ways to get it: download it right now, or schedule it to arrive by email on a recurring basis.
On-demand exports
The page lists five data types you can pull directly: Customers (contact details, addresses, lifetime totals), Appointments (all-time schedule history), Invoices (quotes + invoices with totals), Payments (every recorded payment — cash, card, ACH, etc.), and Vehicles (customer-owned vehicles with VIN + plate). Each row shows a live count of how many records exist, plus CSV and JSON buttons. Click either one and the file streams straight to your browser — no email step, nothing to wait on.
The CSV/JSON buttons are disabled while the record count is still loading, and also whenever an entity has zero records — so if a button looks greyed out, check the count next to it before assuming something's broken.
Every export is capped at 50,000 rows. If a shop's data set is larger than that, the download won't include everything past the cap — contact support for a larger one-time pull rather than assuming you got a complete file.
Scheduled exports
Click "Schedule new export" to set up a recurring email delivery: pick one entity, a format (CSV or JSON), a frequency (Daily, Weekly, or Monthly), and a destination email address. Once created, it appears in the list with its last-run status — "never run" if it hasn't fired yet, or a relative timestamp with "(failed)" and the underlying error message if the last attempt didn't go through.
The delivery cron only runs overnight, so a schedule you just created won't send anything until that next overnight run. If you need it sooner, use the play-button icon ("Run now") to fire it immediately. Pay attention to the result: if the export runs but your shop's outbound email isn't configured, the confirmation explicitly says the export was generated with a row count but was not emailed — a successful-looking confirmation doesn't guarantee anything landed in an inbox.
The toggle switch pauses or resumes a schedule without deleting it. Deleting a scheduled export stops future deliveries only — past runs stay in the audit log, so deleting a schedule is not a way to erase export history.
What this page is not for
This page is shop-staff self-service, not a customer-facing tool — there's no option here to generate an export scoped to one customer, and this flow has no customer-facing equivalent inside the app itself.
If a customer asks you for their own data, or to have it deleted, under GDPR/CCPA or a similar state privacy law, point them to salesthumb.com/privacy/delete-my-data — a public form, no login required, where they can request a copy of their data or its deletion themselves. That's the preferred path: it's the fastest route for the customer, and it drops straight into the same request queue SalesThumb's compliance team already works from, so nothing extra is required from you.
You don't have access to process one of these requests yourself — the tools that review and fulfill them live in SalesThumb's internal compliance console, not anywhere in your shop's Settings. If a customer can't use the self-service form on their own (no email access, prefers to call, etc.), don't try to handle it manually — email info@roffik.com with the customer's details and SalesThumb's compliance team will take it from there.
